Job Description

TRANSPORT AND MAINTENANCE MANAGER

Reports to: Group TQM, Planning & Logistics

Direct Reports: Drivers, Mechanics, Forklift operators, Workshop Assistant & Senior Transport Officer

Key Internal Relationships: All Departments

Key External Relationships: Suppliers, Transport regulatory authority, Kenya police, NTSA & Insurance regulatory

Job Purpose:

To manage the Transport & Vehicle Maintenance for the company and subsidiaries

KEY RESPONSIBILITIES

Fleet Management:

  • Oversee the acquisition, maintenance, and disposal of company vehicles.
  • Develop and implement fleet management policies and procedures.
  • Optimize vehicle utilization and routing to minimize costs and improve efficiency.
  • Manage driver schedules and ensure compliance with hours-of-service regulations.
  • Overseeing and reporting on inspection of all vehicles in accordance with The National Transport and Safety Authority (N.T.S.A.) guidelines
  • Monitor driver performance and safety records, implementing corrective actions as needed.
  • Periodical reporting of fuel consumption, mileage covered and maintenance costs of all company vehicles.
  • To set both maintenance and fuel budget and ensure all transport and maintenance expenditure are within the set budget
  • Complying with safety standards and policy requirements for continuous improvement and ensuring maintenance of good housekeeping standards are met according to the 5S Kaizen principles.
  • Manage fuel consumption and implement fuel-saving initiatives.
  • Ensure compliance with all relevant transportation regulations and safety standards.

Transportation Planning:

  • Implement and manage transportation management systems (TMS).
  • Maintaining and updating vehicle records i.e., Hire Purchase and lease payment terms, vehicle insurance records, year of purchase, depreciation rates, mileage, etc. and advising the company accordingly.
  • Communication with various stakeholders on the vehicle maintenance status.
  • Overseeing the allocation of vehicles to entitled staff in accordance with the company’s car policy in coordination with the HR Department.
  • Assign pool cars or cars to be used by staff moving from one location to another on official duty.

Driver Management:

  • Recruit, train, and supervise drivers.
  • To manage and supervise all mechanics and drivers to ensure they follow company set guidelines and policies.
  • Develop and maintain the driver testing program
  • Schedule and conduct drive tests, conduct road tests to evaluate driving skills and adherence to traffic laws.
  • Maintain records of all driver tests and certifications
  • Conduct driver performance evaluations and provide feedback
  • Ensure driver compliance with safety regulations.
  • Develop and implement preventative maintenance programs for all facilities and equipment.
  • Schedule and oversee routine maintenance and repairs.
  • Manage maintenance budgets and track expenses.
  • Ensure timely completion of maintenance tasks and minimize downtime.
  • To oversee the fleet repairs and maintenance in all deports including Tanzania and Uganda
  • Oversee the maintenance and repair of all company equipment, including vehicles, machinery, and tools.
  • Develop and implement equipment maintenance schedules and procedures.
  • Manage spare parts inventory and ensure availability of necessary parts.

Safety & Compliance:

  • Implement and enforce safety procedures for all transport and maintenance activities.
  • Ensure compliance with all relevant regulations and industry standards.
  • Conduct regular safety inspections and audits.
  • Ensure compliance with SHE (Safety, Health and Environment), ESG (Environmental, Social, and Governance), ERM (Enterprise Risk Management) and Kaizen (continual improvement) initiatives and guidelines/requirements

REQUIREMENTS

  • Degree/ Higher diploma /diploma in mechanical Engineering Automotive option or its equivalent
  • At least 10 years’ experience, five of which must be of at the level of supervisor and above

DESIRED SKILLS AND ATTRIBUTES

  • Thorough knowledge of maintenance of both commercial and passenger vehicles
  • Knowledge of both mechanical and electrical maintenance.
  • Problem solving and Analytical skills.
