Responsibilities:
- Manage immigration processes, including online procedures for Work Permit (WP), Special Pass (SP), and Alien
- Card applications and extensions– short and long term
- Maintaining a schedule of WP/SP and providing timely notifications at least two months prior to expiry.
- Oversee bid and performance security bonds logistics, and assist in the preparation of tenders/bid documents when necessary.
- Administration, Allocation and Maintenance of expatriate accommodation.
- In charge of ALL expatriate logistics on arrival in Kenya.
- Office cars and drivers’ rotas, schedules and planning.
- Tallying and keeping tab of fuel vouchers.
- Handling all travel and booking arrangements for staff members and any office events.
- Filing and managing all agreements and contracts in soft & hard copies while maintaining an indexed system with agreement dates, and providing advance notice at least three months prior to expiry.
- Maintaining confidentiality and upholding strict measures to safeguard sensitive information.
- Taking responsibility for office maintenance, ensuring a clean and organized workspace.
- Ensuring that the office is sprayed every fortnight to maintain a healthy environment.
- Maintaining stock of all office supplies stationery, printing etc.

Minimum Requirements:
- Bachelor's degree in Business Administration or related field preferred.
- 4+ years experience in administrative roles, preferably in a similar capacity.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to work independently and as part of a team.
- High level of commitment to duty, and discipline.
- Unquestionable level of integrity
