We are seeking a detail-oriented and proactive Administrative Assistant to support in operations.
Responsibilities:
- Manage day-to-day administrative operations, including office supplies, equipment maintenance, and facility management.
- Ensure the office environment is organized, efficient, and welcoming.
- Schedule and coordinate meetings, appointments, and travel arrangements for executives and team members.
- Prepare agendas, minutes, and follow-up actions for meetings.
- Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
- Serve as the primary point of contact for internal and external inquiries.
- Documentation and Record Keeping:
- Maintain accurate and organized records, files, and databases.
- Prepare and distribute reports, presentations, and other documents as needed.
- Assist with basic financial tasks such as invoicing, expense tracking, and budget monitoring.
- Coordinate with the finance department for payments and financial record-keeping.
- Monitor and manage office and production inventory levels, placing orders as needed.
- Coordinate with suppliers and vendors for timely deliveries.
- Provide administrative support for special projects and company events.
- Assist with project planning, coordination, and execution.
- Ensure compliance with company policies, procedures, and regulations.
- Assist in the development and implementation of administrative policies and procedures.
Qualifications:
- Bachelor's degree preferred.
- 5+ years experience as an administrative assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to handle multiple tasks and prioritize effectively.
